The Oncology Services Project Administrator plays an important role in supporting provider operations, cross-site coordination, and leadership initiatives across the organization. This position provides high-level administrative and project support that helps providers, leaders, and partner teams stay organized, informed, and aligned. Serving as a key point of coordination between locations, departments, and stakeholders, this role supports onboarding, scheduling, meeting facilitation, follow-through on operational priorities, and provider-related projects.
This position has the potential to be hybrid. The hours are Monday-Friday between the hours of 7:30am-5pm.
Essential Job Functions
Oak Street:
- Assists with OOS provider onboarding under the direction of the leadership team.
- Coordinate on-site visits, including developing itinerary schedules with relevant departments, arranging meetings with realtors when needed, and coordinating all travel arrangements through the approved travel agency.
- Template building and updating oncology providers schedules in UF.
- Supporting leadership with after-hours provider call schedule management.
- Provides backup and administrative support for clinic provider and MA staffing processes, assisting with scheduling and coverage coordination as needed to maintain smooth daily operations.
- Supporting new and current providers by tracking, CME, PTO, sick, etc.
- Responsible for scheduling and coordinating meetings, including QCCA/OnCare, Governance, provider and APP monthly meetings, one-on-ones, and other meetings as needed.
- Support leadership with employee timecards.
- Process provider CME reimbursement forms.
- Responsible for documenting all provider meeting minutes.
- Works directly with the Marketing & Communications Team to ensure website is up to date with provider bios & headshots.
Samaritan:
- Epic template building in collaboration with Samaritan operations teams for new and current providers.
- Work with OOS leadership with performance tracking of Samaritan providers with provided Press Ganey results, and make take part in committees as directed by leadership.
- Participates in the Samaritan operational team and is the intermediary for necessary actions and agenda topics.
- Responsible for follow-through of action items to support Samaritan and OOS partnership obligations and on demand needs of the group.
- Maintains strong professional relationships with Samaritan service line partners and involves leadership as required.
- Responsible for supportive role in OOS and Samaritan clinical governance and service line partnership agenda facilitation and meeting notes.
- Works in collaboration with the team on Samaritan invoicing for the various contracts. Ensures accuracy of timecard reporting compared to templated time.
- Point of contact for Samaritan provider CME template management, tracking and expense reporting.
- Participates in internal and joint operational meetings within Samaritan including Medical Director meeting, operations meeting, clinical governance and facilitates service line meeting in conjunction with leadership.
Other Essential Functions:
- Regular, predictable, and reliable attendance is required to perform the essential duties of this position and to meet operational deadlines, maintain team coverage, and complete time-sensitive work that depends on in-person coordination and access to on-site systems/resources. Employees must report to work as scheduled, be punctual, and remain at work for assigned hours. For roles requiring coordination with patients, providers, and/or teams, consistent availability during scheduled hours is necessary to maintain safe and effective operations, continuity of work, and timely completion of job responsibilities. Employees must follow established call-out and scheduling procedures and provide timely notice of unscheduled absences when feasible. Required Qualifications
- Experience managing projects and supporting leadership initiatives.
- High school diploma or GED.
- Demonstrated strong organizational skills in healthcare or a related field.
- Excellent communication skills, both written and verbal.
- Ability to develop successful relationships with physicians and advanced practice providers.
- Strong organizational skills and attention to detail.
- Uses sound independent judgment to identify and resolve issues.
- High integrity and accountability.
- Proficient in MS Office suite.
Preferred Qualifications
- Bachelor’s degree in healthcare administration or related field.
- Training or professional development in provider relations, with a focus on communication and facilitation skills.
- Oncology experience.
